Privacy Policy

The short version

HooperCard helps coaches, players, parents, and trainers work on player development together. We collect only what that takes, we never sell personal data, we show no ads, and players under 13 need a parent’s consent before their account works. You can get a copy of your data or delete your account at any time.

What we collect

  • Account basics: your email address and, for players, a first and last name and an age range (under 13 / 13–17 / 18+). We deliberately do not collect birthdates, addresses, phone numbers, or location.
  • Development records: what coaches and trainers log — practice notes, game results, development observations, skill progress — and what players add themselves: short reflections, check-ins, and completed drills.
  • Highlight clips: short video clips a coach adds to a player’s card — only after a parent turns highlight clips on. Clips are visible only to people the parent has approved and are never shown publicly; turning clips off removes every clip of that player.
  • Consent records: for players under 13, the consenting parent’s name, email, and relationship.
  • Product usage: which features are used, tied to accounts, so we can improve the product. No third-party advertising or tracking tools are used.
  • Notifications: a device token so we can deliver the notifications you’ve allowed. It is removed when you delete your account.
  • Diagnostics: crash and error reports from the app and our servers (via our error-monitoring provider, Sentry) so we can find and fix problems. Used only for reliability — never for advertising or profiling.

How it’s used and who sees it

Development information is visible only to the people connected to a player through their program: their coach, their attached trainer, and their parent or guardian — each seeing an age-appropriate view. Coaches’ private pattern notes are never shown to players. AI-assisted drafts (like practice plans and next steps) are generated from this data and are always reviewed by a coach before a player sees anything. We do not sell personal data, and we do not share it with third parties except the service providers that run the product (hosting, database and file storage, email delivery, notification delivery, error monitoring, and the AI service that redrafts coach-written text — which is not allowed to train on our data and only ever produces drafts a coach must approve).

Children under 13

A player who indicates they are under 13 cannot activate their account until a parent or guardian, invited by the coach, records consent. Parents can see their child’s development surface, and can revoke consent or request deletion at any time by contacting us or the child’s coach.

Your rights

  • Export: request a copy of your data from within the app (Account → Download my data).
  • Delete: delete your account from within the app (Account → Delete my account). Deletion removes your access immediately and purges your personal records on a 30-day schedule.

Security & retention

Data is stored with industry-standard providers, encrypted in transit, with role-based access controls enforced on every request. We keep a written information security program and a written data retention policy, reviewed at least yearly and whenever the product changes how it handles data.

How long we keep it

We keep personal information only as long as it is needed for the purpose it was collected, and we delete it after that:

  • Active accounts: development records stay while the account is active.
  • Deleted accounts: access ends immediately; records are held for 30 days (so a mistaken deletion can be undone) and then permanently purged, including highlight clips, consent records, and notification tokens.
  • Inactive accounts: if an account has not been used for 18 months we email the account holder — the parent, for a child — and, if it stays unused, delete it at 24 months.
  • Highlight clips: removed the moment a parent turns highlight clips off, and with the account when it is deleted.
  • Product usage: kept for up to 24 months. Crash and error reports: 90 days.
  • Waitlist sign-ups: deleted 12 months after launch, or sooner on request.

Changes

If this policy changes in a way that matters, we’ll note it here with a new effective date and, for material changes affecting children’s data, notify consenting parents by email.
